Summary: Responsible for completing a wide range of administrative and office support activities for the department and pharmacy to facilitate the efficient operation of the Clinical team.


Duties and Responsibilities:


Pharmacy Duties:

  • Receive investigational product (IP) shipments on site.

  • Account for all shipments contents and their contents.

  • Confirm in IWRS/IXRS shipment received or notify sponsor that shipment was received if no IWRS/IXRS system.

  • Document shipment and its contents on the IP logs.

  • Print out monthly temp logs on the first business day of the month.

  • Assessing temperature excursions as they occur, documenting the excursion, and completing any excursion paperwork as well as notifying the sponsor of excursion.

  • IP dispensing and receiving from CRCs.

  • Double verification of IP dispensation and returns.

  • Completes study related logs and trackers.

Administrative Duties:

  • Answers, screens, and transfers inbound phone calls.

  • Receives and directs visitors and clients.

  • Responsible for general clerical duties which includes photocopying, faxing, and mailing.

  • Maintains the electronic and hard copy filing system.

  • Retrieves documents from filing system.

  • Handles requests for information and data.

  • Must be highly proficient in Microsoft Word, Excel, Outlook, and Explorer.

  • Must be very detail oriented and manage tasks effectively.

  • Able to communicate with patients both written and verbally effectively.

  • Resolves administrative problems and inquiries.

  • Prepares written responses to routine inquiries.

  • Prepares and modifies documents which includes correspondence, reports, drafts, memos, and emails.

  • Schedules and coordinates meetings, appointments, and travel arrangements for the directors and departmental personnel.

  • Prepares agendas for meetings and schedules.

  • Maintains office supply inventories.

  • Coordinates maintenance of office equipment.

  • Calls patient to confirm next days appointments or procedures as needed.

  • Schedules procedure visits.

  • Reviews visit schedules to ensure room and resource availability.

  • Completes study related logs and trackers.

  • Follows HIPAA guidelines as outlined by company policies and government agencies.



  • High school diploma or general education degree (GED);

  • Medical Assistant preferred with 2 years of front/back office experience.

  • Medical office administration and clinical research experience desirable


Certificates and Licenses: Valid drivers license.

  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

  • Excellent computer skills including knowledge of Microsoft Office, web-browsers, and web-based software platforms.

  • Work is performed in an office/laboratory and/or a clinical environment.

  • Ability to work in an upright and/or stationary position for 6-10 hours per day.

  • Light to moderate lifting and carrying (or otherwise moves) objects including medical equipment with a maximum lift of 20-50 lbs.
